The accounting model
A payout summary, not an order-by-order mirror
Taxomate starts with the Shopify Payments payout, organizes the activity behind it into a mapped QuickBooks summary, and gives you a clear net deposit to reconcile.

Best fit for
- Stores using Shopify Payments that want payout-level bookkeeping
- Teams that want to review account mappings before posting
- Sellers keeping order detail in Shopify and summarized accounting in QuickBooks
Know before you choose
- This workflow does not provide live Shopify inventory or product-quantity sync
- It does not create one QuickBooks transaction for every Shopify order
- External payment gateways should be tested separately for mapping and reconciliation
Taxomate or the Shopify Connector by QuickBooks?
Intuit has its own Shopify Connector for QuickBooks Online. The two tools record Shopify sales in different ways, so compare them before you choose.
| Topic | Shopify Connector by QuickBooks | Taxomate |
|---|---|---|
| Who builds it | Intuit. | Taxomate. |
| What it creates in QuickBooks | A sales receipt and a fee expense for each Shopify sale, and a deposit for each payout. | One summarized journal entry or invoice for each Shopify payout, based on your posting setting. |
| Bank reconciliation | You match the deposit it creates to the Shopify deposit in the bank feed. | The posted total is the payout total, so it matches the bank deposit. Auto deposit can also record the deposit for you. |
| History | Up to 12 months back. | All of Shopify's history on annual plans. Monthly plans include this year. |
| Other sales channels | Shopify only. | Amazon, eBay, Etsy, and Walmart can post to the same QuickBooks company. |
- The Shopify Connector can suit you if you want each Shopify sale as its own transaction in QuickBooks.
- Taxomate suits you if you want one summary for each payout, so QuickBooks holds fewer transactions and each entry matches one bank deposit.
- Taxomate also suits you if you sell on Amazon, eBay, Etsy, or Walmart and want one tool for all of them.

Before and after
68 Shopify transactions become one QuickBooks entry.
Every order adds its own sale, fee and shipping lines to the Shopify payout. Taxomate adds them up by category, so QuickBooks gets one entry with the same total as the bank deposit.

Set your account mappings

- 04
Review a Shopify payout
Open a Shopify payout in Taxomate. It shows sales, discounts, refunds, shipping, tax, and fees grouped by category, with the payout total.
- 05
Post to QuickBooks
Post the payout. Taxomate creates one summarized entry in QuickBooks as a journal entry or an invoice, based on your posting setting. You can also turn on auto-post so new payouts post after the deposit date.
- 06
Reconcile with your bank deposit
Match the posted entry to the bank deposit in QuickBooks. The posted total is the payout total, so it lines up with the deposit. If you turned on auto deposit, Taxomate also records the deposit to your bank account.

- You can turn on QuickBooks classes to track amounts by class.
- Every mapping is yours to change. The default account names are a starting point.
Questions to settle before you connect
A payout-based integration works best when you want QuickBooks to explain each deposit without recreating your entire Shopify order book.
Does Shopify integrate with QuickBooks Online?
Yes. Taxomate connects Shopify to QuickBooks Online for summarized payout accounting. This page covers QuickBooks Online; it does not promise a QuickBooks Desktop connection, live inventory sync, or one transaction per order.
Will this create one QuickBooks transaction for every Shopify order?
No. Taxomate groups the activity behind a Shopify Payments payout into a summarized QuickBooks entry instead of mirroring every order.
How does the payout reconcile to the QuickBooks bank feed?
The summary separates the activity that explains the net Shopify deposit. For an illustrative payout with $100 of sales, $8 of tax, and $3 of fees, with no refunds, shipping, reserves, or adjustments, the bank receives $105. Keep the $100 revenue, $8 tax liability, and $3 fee expense separate, then match the $105 deposit. Your actual accounts depend on your mappings.
What should I test during the trial?
Use one representative Shopify Payments payout. Review its mappings, post the summary, and confirm that the result matches the bank deposit before importing more history.
Before you import history

Before you move historical Shopify data, use one representative Shopify Payments payout to confirm the QuickBooks post and bank reconciliation path.
- 1 Import one recent Shopify Payments payout with sales, discounts, refunds, fees, and taxes.
- 2 Review the QuickBooks summary and confirm the net payout matches the bank feed.
- 3 Confirm the first successful post in QuickBooks before expanding to more payouts or historical imports.
